In Episode 11 of Data Unleashed, Drew takes a look at some of the ways organizations handle their Salesforce data archival process. If your Salesforce org is close to the data limits offered within Salesforce, you might take one of the more common approaches to handle this situation. The first involves just buying more storage space. This can be the easiest solution for some, but the additional costs associated with this is undesirable for most organizations. Second, you might try exporting a ton of CSV files and uploading them into a storage platform such as AWS. The third option involves trying to build your own scripts or manually deleting data yourself. These last two options take up serious time, and luckily there is an easy way to save time and combat the laborious process of data archival.

Hey there, happy Pi Day, my name is Drew Niermann. And you’re watching Data Unleashed, the video blog series dedicated to helping you get more out of your investment in Salesforce.
I have a question for you today. What do you do if your organization, Salesforce org, or orgs, are hovering below or even a little bit above your Salesforce data and file storage thresholds? This is a problem that I hear about pretty frequently. And it’s typically addressed in one of a few different ways.
So commonly, organizations will pay through the nose to purchase additional storage for their Salesforce data and files. Sometimes they will export a bunch of CSVs and try to dump them into an S3 bucket on AWS or some storage platform like that.
Other times, they’ll try to build scripts or manually delete data from Salesforce. But there is another way that one can address these challenges.
Something that we hear about quite frequently is archiving old cases or even email messages that your organization may need to retain for X number of days or even years for certain regulatory requirements.
And this solution is actually quite simple. You replicate the certain objects and data down to a local, relational database behind your firewalls, where you can retain this data for however long you need. And you can actually analyze the data and search for it, query your own relational database on demand. Then, should you have the need, you can actually restore the data back to Salesforce without a whole lot of effort to begin with. It’s just a really fast, easy solution. Some of our larger enterprise customers are even offering web services to piggyback on the local SQL database and then leveraging Salesforce connect to expose some of that archive data and in their local SQL database inside of Salesforce, as if it were actually native to Salesforce, but it’s not.
So this is one of many different creative ways that enterprise Salesforce customers seek to solve this common problem.
